
Host a writer meetup
A step by step guide to hosting your first get together with fellow Substackers
Substack writers are meeting up around the world to celebrate wins, swap stories, and support one another on their journey.
Writer meetups take a variety of shapes, and we encourage writers to bring creativity to how they get together. Most commonly, we’ve seen writers getting together for informal drinks at local cafes, bars, and parks. While most gatherings are in person, virtual meetups offer the opportunity for writers to connect across categories, identity groups, regions, and more.
You don’t need our permission to host a meetup; you can do so at any time. In this guide, we’ll help you host your first meetup, step by step.
A guide to hosting
Although meeting fellow writers can feel magical, it doesn’t come together by magic. Finding a space that accommodates your group, sending an invite that sets the tone for the event, and welcoming your fellow writers thoughtfully are little touches that help realize the magic. Below we’ll guide you in the making of a great writer meetup, step by step.
Dream up what you’ll do together
The best meetups happen around a shared activity. Sometimes the activity is one that’s impossible to do alone. Other times it’s one that’s fine solo but 10 times better when experienced with others.
If you are just getting started, keep it simple, like a discussion prompt over drinks. You could even use the first meetup to discuss how you want to spend your time together in the future.
If you have a lot of creative energy around getting together, run with it. Maybe you want to host an open mic or a book swap. Get creative!

Pick a location
Here are three qualities of a great meetup location:
Central: Pick somewhere that has parking or is accessible from public transportation.
Flexible: Parks and libraries are great options for hosting that are usually no-cost. Bars, cafes, bookstores, restaurants, or co-working spaces are other spaces worth exploring. Try working with a venue that allows you to block off a small area or reserve a big table with no charge. At off-times for businesses, they are often excited by groups coming in. Some places may have a minimum spend if you bring a group, but ideally you don’t have to put down a deposit or pay a fee to use the space.
Vibes: Where do you like to hang out? It’s likely the people you are gathering will be excited to hang out there too!
It’s helpful to have a location on your invite, but if you end up having more people RSVP than the space can accommodate, you can always pivot. You might even consider putting out the invite with just the city or neighborhood location and then finding a venue based on interest.
Virtual is always an option too. Zoom or Google meetups allow you to meet with anyone, anywhere, with ease. Check out Alexa Kutler’s virtual event guide for extra Zoom tips and tricks.
Create an invite
The meetup starts with the invitation. It sets the tone for who shows up and why. While it is important to clearly state the date, time, and location of the meetup, it’s even more important to help people imagine who will show up and how you will spend your time together.
Put your invite together on an event landing page you can share with others, and collect their email addresses for communication leading up to the event. We recommend Lu.ma, a free tool. Some other tools you might consider: Partiful, Paperless Post, Eventbrite, or Facebook Events.

Share it directly with writers you know. A personal note, whether it’s over email, text, or DMs, goes a long way. Don’t be shy about reaching out to writers you don’t know yet. Do a quick search for your city on Substack—see who is writing about the city or has mentioned it in their profile.
Share it on the socials. You never know who in your wider network may be looking for the type of meetup you are hosting.
One week before you meet
Here’s a checklist for the week leading up to your meetup.
Remind your guests. Some event tools have built-in reminders, and most allow you to send a blast to everyone who has RSVP’d. If you choose to use Lu.ma, these emails are automatically scheduled the day before and the day of the event. Update the emails to include anything guests should bring and any relevant information about how to find you.
Get to know who will be in attendance. Look through your RSVP list so you know who is coming and can offer them a warm welcome.
Make sure people can find you. Consider printing a sign that displays the name of your meetup that you can place outside the venue or wherever you’re hosting.

During the meetup
Here’s a checklist for your time at the event.
Check in with the venue. Make sure someone on the staff knows who you are so that when guests arrive, they can point them in the right direction.
Welcome guests. Walking into a room of strangers can be overwhelming. As people arrive, and before the main activity of your meetup starts, give people something to do. Name tags and a discussion prompt can help break the ice before the main event. If you are co-hosting, have someone take the lead in standing at the door so everyone is greeted when they enter the space.
Make a moment. If you are keeping the meetup casual, with mostly mingling and discussion, take a moment at the beginning to welcome everyone as a group. Suggest a prompt for people to use to start their conversations. At the end, thank everyone for coming and let them know what they can expect going forward.
Take photos! If you plan to host again, having photos can help market the next meetup. Plus, they are great keepsakes for attendees.
Above all, have fun!
Follow up
Send a thank-you note to all who came out. Consider including information about everyone who attended, like a link to their Substack profile, so people can keep in touch. Attach any photos from the event or links to relevant things you talked about.
And, post about it on Notes. Tag
so we can share it, and help get out the word to more writer for next time.Keep it going
Real community happens when you keep getting together. If you enjoyed meeting up, put a date on the calendar to do it again! Pass the torch and invite a guest to host the next one.
In between meetups, consider setting up a space to continue the conversation online. Keep it simple, with an email thread or a text message group. Formalize the channel with a private Substack publication with Chat enabled for all subscribers.

I'm interested, but I'm also a little apprehensive. I've hosted Meetups before, but it was difficult to get people to attend. Having a committed group would be important for me, because I have a disability that makes this extra-tiring for me. I'd want to know that if I use up spoons planning, getting ready, and driving to a location, that I won't be wasting my time.

Interesting. I doubt there'd be enough Substack writers in my area (Dumfries, Scotland) to be viable. I run a local creative writing group and am involved in other events (e.g. I have a meeting next week to discuss a regular spoken word event in a pub, with live musical accompaniment, and another meeting with a reader development librarian about how I can fit in with their programme). We're not short of great venues in Dumfries - I've even just started a part-time job as a cinema projectionist at the Robert Burns Centre, which is brilliant, and the venue is regularly used for private finctions (apparently Dirty Dancing is popular at hen parties, along with Magic Mike and Grease!). But we'd need more Substackers in south Scotland to make such a specialist a meet-up viable.

It's something that I'm putting on independently; my friends actually own an escape room called Labyrinth Puzzle Rooms in downtown Lakeville (they sell my books in their lobby), and they offered me a room to teach the class!

I'm in! I guess the big questions are when and where. I'm in the south metro, about 15 minutes from Minneapolis, so in or around the city works for me.

Hi Lisa! You’re totally right. The most recent meet up was super last minute and coordinated through Notes. We don’t have another meet up set (that I know about) but I can make sure any updates go out through that LA Substackers Substack (just to gather us all in one place until we figure out how best to coordinate going forward)

I grew up in Michigan and I was a history teacher, and when I moved to Pittsburgh, I had some kids I advised read Lee Iacocca’s autobiography, “Iacocca”, and his dad actually began that chain. (May have been his grandfather. Can’t remember now.) and as a lover of hot dogs, I am now obsessed with getting out that way. I’m not even a huge Iacocca fan. But hot dogs.

Can you tell us more about what kind of support Substack is offering? Like do you have a database of Substack writers by geography that enables you to send an invitation out to everyone in a particular area (DC in my case) who might be interested? Or do writers need to find one another independently?
Another way to do it would be to ask everyone who is interested in a meetup to fill out a form, and then you could provide those email addresses to one or more of the people who volunteered to host so they can discuss the best time and location.
Anyway like others I'm finding this process confusing. I would like to attend a meetup and am open to hosting but I need to better understand what I'd be signing up for.
Hi Tim,
Our current plan for helping writers spread the word is primarily through our channels include On Substack, Substack Writers in Notes, and our event page. We don't have a database of writers who want to attend meetups and where they are based though it might be something we consider building in the future.
The other way we plan to support hosts is through the Substack Writer Meetup Forum where hosts can connect with other hosts around the world and the Substack Writer Success team. There we will share resources on how to best bring fellow writers together.
This is our first iteration of the program and we hope to iterate with hosts that raise their hands.
We're finishing up the first round of applications and will share invites to the first round of meetups writers are hosting hopefully early next week.

Hey, I filled out a form to host one, but I never got a response about whether or not Substack was going to promote it or support it.
When I started my blog in September, I experienced various hurdles in choosing the platform to host my articles. I tried several sites but found Substack to most convenient for me. However, Stripe does not accept registration from my country (Kenya). I decided to write regardless because I was passionate and wanted to share my experiences with others.
Writer meetup is an incredible idea to help individuals like me to connect with fellow writers from my region. I would love to host this event in my region and attract like-minded individuals. I am a bit tensed but excited at the same time. I would love to hear the stories of writers' journey and how they overcame the various hurdles along the way.

I already host a weekly writing critique group. It'd be great to meet local writers out there who are not a part of this group. But I don't know if Substack would allow me to host. What does Substack consider posting regularly? The nature of the interviews I do for Substack means I post about once a month. That's probably not what they're wanting from a host. But I don't know.
I recently met up with two other Substack writers in London (two separate one-to-ones). They were great, and I was interested in applying to be a host until I read the requirement about having a starter plan. My starter plan would depend in part on what the other attendees wanted to get out of it -- or is the idea that the host sets up the meeting and says, "This is what we're going to do, come along if you like the sound of that:?

I’m used to hosting & promoting events as I lead mindfulness workshops, and was just plotting a poetry & presence potluck evening earlier today, and would love to co-create something with any fellow local Substackers. I’m definitely intrigued by the meetup idea, AND the fact that there’s a substack events page! Is there a way to “subscribe” to this page or somehow be notified about events or should we just keep checking it periodically?

I love this idea already since I'm starting out new in writing. I would love other people in my region to host and watch. Maybe would host after that.
All substack meetups must be hosted in public spaces?
What is this restriction about?
I’ve been to meet ups in public places and they have almost universally been a nightmare.
Many groups meet in private places, and I don’t see why sub stack groups can’t meet in private places as well.
What is the thought behind this?
Because if Substack endorses and promotes your event and then you go all Silence of the Lambs at the “official meetup” in your basement, Substack is liable.
So if a Substack group meet-up is held in an Irish pub and promoted by Substack and a Guinness crazed terrorist with an A.R. 15 shoots all the bottles out and serious injury occurs, maybe even death, with fine shards of brown glass like shrapnel blown from shattered beer bottles, wouldn’t Substack be just as liable?
Not a lawyer but probably not.
I would assume if it was a Substack promoted event, whether it was in a private location or a public location, liability would fall on all involved parties.
Perhaps a lawyer could check in here with their opinion. There’s probably precedent.
